~ MINUTES for MAY 7, 2009 ~

Presentation by Olympus Media - Barb May presented the outdoor sign specs. She handed out photos of the billboard designed and discussed the 2-year warranty of the three-year contract. The Chamber will be responsible for the third year if there are damages. Olympus owns the structure and will insure billboard. If approved tonight, the billboard will be up by the end of May. There may be an increase in vinyl cost from 2008 to 2009 but do not expect it to be much more of an increase. Vote for billboard was unanimous. All in favor.
Concerns and comments regarding the billboard - included a need for directional signs to reach the Hoosier Gym; discussion of contacting the state on signs and locations.
Discussion regarding updating the website information and the status of ownership of website - Amy Blackwell will contact Eric Winters on the change over of the domain.
Discussion of two board members to replace – this brought on the By-Law committee changes discussion. When do we want to meet to discuss changing the number of board members; also discussed whether or not it was imperative to fill the positions tonight and if we change terms it would be at the year end. Motion to leave two spots empty until end of year and leave as is. Majority vote, one opposed; will leave as is until year end.
Web site maintenance discussed - to be done by Stacy Cox from The Banner for $15 hourly. Approved.
The June meeting would be during the Jubilee Days. It was discussed to cancel this meeting due to the activity and other responsibilities.

Everyone introduced themselves and gave their name and company.
Announcement that we would be putting up the billboard just east of St. Rd. 3 Exit.
Announced the legislative forum for May 11th would be at Sugarbakers.
Legendary Designs gave a bid for 250 3x5 window cling decals for new and existing members at cost of $0.91 each. All in favor. Bill Winsor 1st, Joni Roberts 2nd. Sue will be ordering clings shortly.
Announced that there would be no meeting in June.
The Boy Scouts have volunteered to assist with cleanup for the Jubilee Days.
Citizen of the Year Report - Lin Ebbert & Amy Blackwell date set for June 2nd.
Discussed volunteers and signage for the Historic Walk on May 16th. Rusty Johnson volunteered to put up sign for this. Volunteers needed for 10-12 shift and 12-2 shift - see Angela Tielking.

Tabitha Truax Haynes update on events (Coordination of food vendors, Baby contest, Certificates of Appreciation, Trophies for Parade). Donation by Royal Hylands for purchase of trophies
Parade will start on Saturday at 1pm
Queen application forms have been mailed out. Teri Stacy asked to announce Queen contest.
Randy Rosenkrans gave a presentation on State Farm Insurance offerings.
Deadline of May 14 to get brochures for the Henry County Tourism.
Blood drive June 6 from 12:30-5:00, chaired by Masonic Golden Rule Lodge 16.
